Payroll errors are public: an employee sees a wrong amount the same day. A predictable monthly routine prevents most of them, and also leaves a record that holds up in an inspection or an audit. This checklist works with any system and is built into Workforce OS. Rules and formats come from the labour authorities and your bank, so confirm current requirements before relying on the details here. Related guides: WPS payroll guide and gratuity mistakes.

Before the run

  1. Freeze changes: new joiners, leavers, salary changes and bank detail updates up to the cut-off date only.
  2. Close attendance: approve overtime and unpaid leave.
  3. Check documents: labour contract, bank or exchange house details and Emirates ID match the payroll record.
  4. Enter one-off items: loans repaid, expense claims, bonuses and deductions with approval references.

Simulate first

Run the payroll as a trial and compare it with last month. Investigate any employee whose net pay changed by more than a set percentage, any new name and any missing name. A simulation costs minutes; a wrong salary file costs days.

After the payment

  • Save the bank confirmation and any rejection report with the payroll run.
  • Re-submit corrected lines quickly and note the cause.
  • Release payslips through a secure channel, not a group chat.

Accruals

Book the month's gratuity and leave provision so the liability is visible in the accounts, see the month-end close. At the end of service, calculate the settlement from the contract and service dates, and keep the working. Ask us about payroll setup for your company.
