The Wage Protection System (WPS) is an electronic salary payment system for private-sector employees in the UAE. Employers pay wages through approved banks or exchange houses, and the Ministry of Human Resources and Emiratisation (MOHRE) can monitor whether salaries are paid on time and in the agreed amount. For employers it means one thing: payroll must be accurate, documented and punctual. Rules and thresholds change, so confirm current requirements with MOHRE or your bank. This guide covers the practical side.

The monthly payroll cycle

  1. Collect inputs. Attendance, overtime, leave, new joiners, leavers, allowances, advances and deductions.
  2. Calculate. Basic salary plus allowances, less deductions, for each employee. Keep the formula consistent with the contract.
  3. Review and approve. A manager checks changes against last month. Large differences should have a reason.
  4. Generate the salary file. Your bank or exchange house specifies the format. It includes the employee identifier, bank details and amount.
  5. Upload and pay. The payment is made through your approved channel by the due date.
  6. Issue payslips and file records. Employees receive a payslip, and you retain the payroll record.

Records to keep for each employee

  • Signed contract and any amendments.
  • Passport, visa, Emirates ID and labour documents with expiry dates.
  • Bank or payment account details, kept secure and verified.
  • Monthly payroll history and payslips.
  • Leave records, loans, advances and end-of-service calculations.

Mistakes that cause trouble

  • Wrong or outdated bank details leading to rejected payments.
  • Employee identifier errors in the salary file, such as an expired or mistyped number.
  • Late salaries because approvals wait for one person on leave. Name a backup approver.
  • Payroll amounts not matching contract terms. Update the record whenever a contract changes.
  • Unrecorded deductions. Deductions need a documented basis.
  • Forgotten end-of-service. See gratuity calculation mistakes.

How software helps

Good HR and payroll software keeps employee data and payroll in one place, locks a month after approval, produces the salary file and payslips, and warns you when documents are about to expire. It also gives each calculation a trail, so you can explain it to an employee or an auditor. See the HR and payroll features checklist, and our HR and payroll software service.

Think about security

A pre-payment checklist

  • Headcount matches the active employee list.
  • New joiners have bank details and a valid identifier.
  • Leavers have final settlements calculated separately.
  • Totals agree with last month plus explained changes.
  • The salary file passes your bank or exchange house validation.
  • An approver and a backup approver are named.
  • Payslips are ready to release when payment is confirmed.

Payroll data includes identity and bank details. Limit access by role, log changes and back up regularly. Read UAE data protection for software buyers.
