“How much does software cost?” is the question every owner asks first, and the honest answer is: it depends on what you ask for. A booking page and a multi-branch ERP are different projects. This guide explains what moves the price, so you can set a realistic budget and compare quotes fairly.

What drives the cost

  • Scope: the number of screens, roles, workflows and reports.
  • Complexity: approvals, calculations, integrations, multi-branch rules and VAT handling.
  • Integrations: payments, accounting, WhatsApp, SMS, delivery partners, government or bank connections.
  • Data: migrating and cleaning existing data takes real time.
  • Design: custom design and Arabic right-to-left layouts add effort.
  • Platforms: web only, or also iOS and Android; see mobile app development in the UAE.
  • Quality and security: testing, performance, documentation and security work.
  • Team and location: experience and rates differ widely. See how to choose a development company.

Customise a ready-made system or build from scratch

A system that already does 70 to 80 percent of what you need can be tailored faster and at lower risk than a build from zero. Browse our ready-to-customize software to see what exists. Build from scratch when your process is truly unique or is your competitive advantage.

Pricing models

  1. Fixed price: agreed scope, price and date. Good when requirements are clear. Changes are quoted separately.
  2. Time and materials: you pay for effort, with a cap or budget alert. Good when you will learn as you go.
  3. Staged: a fixed-price discovery and first phase, then later phases decided on results. Often the best balance.
  4. Subscription or licence: common for ready-made systems; check what happens if you stop paying and whether you receive the source code.

How to compare quotes

  • Is the scope written in detail, with screens and workflows listed?
  • What is included: design, testing, training, documentation, data migration, hosting set-up?
  • Who owns the code and the data?
  • What warranty or bug-fix period applies after launch?
  • What are support and update costs, and response times?
  • Who will actually do the work, and can you speak to a past client?

A cheaper quote that leaves things out is not cheaper.

Hidden and ongoing costs

  • Hosting and backups, domain and SSL.
  • Third-party fees: payment gateways, SMS, WhatsApp, maps, email delivery.
  • Support, bug fixes and security patches.
  • Training for new staff and changes when your process evolves.
  • Your own team’s time to test, decide and provide content.

A common planning rule is to set aside a percentage of the build cost each year for maintenance and improvements.

Stage the budget to reduce risk

  1. Discovery: a short paid phase that produces scope, screens and a plan.
  2. Phase one: the smallest version that solves the biggest pain.
  3. Review: measure results with real users.
  4. Next phases: add features in order of value.
