When you buy an ERP, CRM or portal, one question is easy to miss: where does the data live and who controls it? In the UAE the answer matters for client trust, regulated sectors and your own ability to leave a supplier. This guide explains the options in plain terms. It is general information, not legal advice; confirm obligations that apply to your sector.

What data residency means

Data residency is the physical or legal location where data is stored and processed. Some information, such as certain health, government and financial data, may be subject to rules about where it can be stored or transferred. Federal data protection law also sets conditions on transferring personal data abroad. See UAE data protection for software buyers. Ask your regulator or adviser what applies to you, and write the answer into the vendor contract.

Options compared

  • Vendor-hosted cloud (SaaS): fastest to start and easy to maintain. You depend on the vendor for uptime, location and exit. Ask where servers are and how you can export data.
  • Public cloud in a UAE or regional data centre: flexible and scalable. Several major providers operate UAE regions; check current availability and which services are included.
  • Local hosting provider: a UAE data centre or reseller, often with support in your time zone.
  • Self-hosted on your own server or hosting account: full control and no per-user fees; you or your developer handle security and backups. See self-hosted vs cloud ERP.

Questions for any vendor

  1. In which country and facility is my data stored, including backups?
  2. Which subcontractors or sub-processors can access it?
  3. How is data encrypted in transit and at rest, and who holds the keys?
  4. How often are backups taken, how long are they kept, and when was a restore last tested?
  5. What is the uptime commitment and the process during an outage?
  6. How do I export all my data, in what format, and how fast?
  7. What happens to my data and backups if I end the contract?

Security is shared

Even in a reputable cloud, you are responsible for strong passwords, multi-factor authentication, user permissions and leaving accounts open after staff leave. See cyber security basics for UAE small businesses.

Cost and flexibility

Per-user subscriptions are predictable but grow with headcount. Self-hosted systems cost more upfront and less over time, but need care. A hybrid is common: the application on your own hosting, backups in a separate cloud. Ask for a three-year cost comparison, including support.

A simple decision guide

  • Handling regulated personal data? Confirm the rules first, then choose a location that meets them.
  • Small team, limited IT skills? A managed cloud or vendor-hosted option may be safest.
  • Want control and low long-term cost? Self-host with a trusted developer maintaining it.
  • Large customers asking where data sits? Prepare a one-page data location statement and keep it current.

We deliver both ways, and always hand over the source code and data. See choosing hosting in the UAE and our ERP for Abu Dhabi organisations.
