Few businesses run on one system. There is an ERP or accounting package, a CRM or a spreadsheet of leads, a website, a payment provider, a courier, WhatsApp, and sometimes a government or bank portal. When those systems do not talk, staff become the integration: copying orders from the website into the ERP, retyping payments, pasting addresses into a courier form. API integration replaces that copying with software. This guide explains the options and the rules that make an integration reliable.
What an API is, in one paragraph
An API (application programming interface) is a set of agreed requests one system can send another: "create a customer", "give me the status of order 1042", "tell me when a payment succeeds". Most modern services publish one. An integration is a small program that sits between two systems and uses their APIs to keep them in step.
Integrations UAE companies ask for most
| From | To | What flows |
|---|---|---|
| Website or online store | ERP or accounting | Orders, customers, stock levels, invoices |
| Payment gateway | ERP or store | Payment status, settlements, refunds |
| CRM | ERP or billing | Won deals become customers and invoices |
| WhatsApp Business Platform | CRM or order system | Enquiries, order updates, reminders |
| Courier or delivery partner | Order system | Labels, tracking numbers, delivery status |
| Attendance devices | HR and payroll | Punches, hours, overtime |
| Bank files | Accounting | Statements for reconciliation, salary and payment files |
Four ways to connect systems
- Real-time API calls: one system calls the other immediately, for example to check stock before accepting an order. Best when the answer is needed now.
- Webhooks: the service tells you when something happens, such as a payment completing. Efficient and quick, but you must handle messages that arrive twice or out of order.
- Scheduled sync: a job runs every few minutes or hours and copies changes. Simple and forgiving, if a short delay is acceptable.
- File exchange: CSV or Excel files imported and exported on a schedule. Slow and fragile, but sometimes the only option, especially with banks and older systems.
Design rules that keep data trustworthy
- One source of truth per kind of data. Customers live in the CRM, stock lives in the ERP. Decide this before you write code, so systems do not overwrite each other.
- Unique identifiers. Store the other system's ID on each record so you can match them later. Never match on names.
- Idempotency. If the same order arrives twice, the second must not create a duplicate. Use the identifier to detect repeats.
- Retries and queues. Networks fail. The integration should retry with delays and keep a queue of what has not been delivered yet.
- Clear mapping. Document how each field converts: status codes, tax treatments, currencies, units, Arabic and English names.
- Respect business rules. The integration must not bypass approvals or period locks that users face in the screens.
Security and compliance
- Keep API keys and secrets in server configuration, never in web pages or mobile apps.
- Give each integration its own account with only the permissions it needs.
- Use encrypted connections and verify webhook signatures.
- Log what was sent and received, without storing card data or more personal data than needed. See UAE data protection for software buyers.
- Know where each service stores your data. See cloud hosting and data residency.
UAE examples worth planning for
- Payments: match gateway settlements to bank receipts and invoices, including fees and refunds. See online payments in the UAE.
- WhatsApp: use approved templates, store consent, and log the conversation on the customer record. See WhatsApp business solutions.
- Tax documents: invoices created by an integration must meet the same tax invoice requirements as those created by hand.
- E-invoicing: if electronic invoicing obligations apply to you in future, an integration layer makes it easier to adapt. See UAE e-invoicing explained.
Monitor, then maintain
Treat an integration as a living service. Show a simple status page: last successful sync, items waiting, errors in the last day. Send an alert to a person when failures pass a threshold. Review the error log weekly in the first month. Plan for the other side to change: providers update APIs, retire versions and add new fields, so budget for maintenance. See software maintenance and support contracts.
Build, buy or configure?
Some systems offer ready connectors. Use them when they cover your case. When your process is unusual, a custom integration is often cleaner than forcing it through a generic tool. We design both. See API integration and custom software development, or tell us which systems you want to connect.
