ERP Cost in the UAE: Pricing Models, Hidden Costs and How to Budget
"How much does an ERP cost?" has no single answer, because the price of the software is only one part of the bill. Two quotes that look similar can differ hugely once implementation, data migration, training, customization and support are counted. This page explains the pricing models you will meet in the UAE and how to build a budget you can trust. We do not publish software prices; the aim here is to help you compare fairly.
The four pricing models
| Model | How you pay | Good for | Risks |
|---|---|---|---|
| Subscription (SaaS) | Monthly or yearly per user or per company | Quick start, low upfront cost, standard needs | Total cost grows with users; changes limited; leaving can be hard |
| Perpetual licence | One-off licence plus yearly maintenance | Stable teams who want ownership | Upgrades and add-ons can cost extra |
| Customized ready-made system | Project fee for setup and changes, optional support | Mostly standard needs with some special workflows | Unclear boundary between standard and custom |
| Custom build | Project fee by scope or milestone, then support | Unusual processes or competitive advantage | Scope creep; needs a strong partner and clear acceptance criteria |
What drives the total cost
- Number of users and companies. More users, branches and legal entities mean more setup and sometimes more licences.
- Modules. Finance only is far smaller than finance, inventory, manufacturing, projects, HR and CRM.
- Customization. Special workflows, documents, reports and integrations add design and testing time.
- Data migration. Cleaning and loading customers, suppliers, items and balances is often the least visible and most underestimated part.
- Integrations. Banks, payment gateways, couriers, e-commerce, biometric devices, tax and government portals where available.
- Training. Time for staff to learn, which is both a fee and a cost of people away from daily work.
- Hosting and security. Cloud fees or your own server, backups, monitoring.
- Support. Response time, hours covered and who fixes problems.
Hidden costs to ask about
- Fees for extra users, extra companies or API calls.
- Charges for upgrades, new versions or "modules" that were assumed to be included.
- Paid access to your own data or export tools.
- Rates for changes after go-live and the minimum billing time.
- Costs of running the old and new systems in parallel.
- Internal staff time: a project owner, data owners and testers.
A simple budgeting method
- List the scope. Modules, users, entities and integrations you need in the first release.
- Ask for a written quote on that scope from two or three suppliers, with inclusions and exclusions.
- Add a three-year view. Subscription or licence, hosting, support and expected changes for each year.
- Add internal cost. Estimate hours your staff will spend.
- Add contingency. A reserve of around ten to twenty percent for surprises is prudent.
- Compare against the cost of staying as you are: errors, delays, duplicate work and lost sales.
Ways to keep cost under control
- Phase the project, starting with the modules that bring the most value.
- Use standard workflows where they are good enough and customize only what gives you an advantage.
- Clean your data before migration.
- Fix the scope in writing and agree how changes will be priced.
- Insist on owning your data and, where possible, the source code, so you can change supplier later.
Frequently asked questions
Is a subscription ERP cheaper than a custom one?
At the start usually yes. Over several years with many users, a customized or custom system can cost less. Compare a three-year total.
Can I get a fixed price?
For a well-defined scope, yes. Fixed prices work best after a discovery phase, with a clear list of what is included.
What does support usually cost?
It depends on coverage and response time. Ask for a written service description and sample reports. See support contracts explained.
