In the UAE, customers expect to message a business on WhatsApp and get an answer quickly. Staff cannot always reply in minutes, in two languages, at all hours. A well-designed chatbot or AI assistant can take the repetitive questions and hand the rest to a person. A badly designed one frustrates customers and damages the brand. Here is how to do it well.
Good first use cases
- Opening hours, location, prices ranges and service explanations answered instantly from approved content.
- Appointment booking and rescheduling connected to your calendar.
- Order and delivery status pulled from your system.
- Lead qualification: ask a few questions, such as budget, location and timeline, then pass the lead to a salesperson with the answers.
- Payment and document reminders with consent.
Design principles
- Answer from your own approved content. An AI assistant that invents answers is a liability. Limit it to your knowledge base and have it say when it does not know.
- Offer a human at any point. A clear "talk to a person" option, with context passed to the agent, so the customer does not repeat themselves.
- Both languages. Detect or ask for language, and test Arabic and English replies with native speakers.
- Short messages. Use buttons and lists where WhatsApp supports them.
- Be clear it is automated. Do not pretend to be a person.
Platform rules and consent
Business messaging on WhatsApp is governed by the platform's policies. Start conversations with opted-in contacts, use approved message templates for business-initiated messages, and honour opt-outs. Keep records of consent. For an overview of the options, see WhatsApp Business API vs app. Handle personal data according to UAE data protection requirements.
Connect it to your systems
The value multiplies when conversations create or update records. Leads should flow into your CRM with source and language, bookings into your calendar, and order lookups should read your ERP or store. See CRM software and AI automation.
Measure it
- Share of conversations resolved without a person.
- Response time and customer satisfaction.
- Leads captured and the share that become customers.
- Questions the bot could not answer, which tell you what content to add.
Start small
Sample conversation flow for a service business
- Greeting in the customer's language with three buttons: book, prices, talk to a person.
- For "book": ask the service, preferred day and area, then offer available times.
- Confirm the booking and send a reminder the day before.
- For "prices": show ranges from approved content and offer a quote.
- For anything unclear: hand over to a person with the transcript attached.
