UAE schools and nurseries serve families from dozens of countries, follow different curricula, and report to different authorities depending on the emirate: the Knowledge and Human Development Authority (KHDA) in Dubai, the Abu Dhabi Department of Education and Knowledge (ADEK) and the Sharjah Private Education Authority (SPEA), with others in the northern emirates. Their software must handle all of that while remaining easy for teachers and parents. This guide is general information; confirm the reporting formats and rules with your authority.

Admissions and enrolment

  • Online enquiry and application forms, with document uploads such as passports, Emirates IDs and previous reports.
  • A pipeline from enquiry to assessment, offer, fee payment and enrolment, with automatic reminders.
  • Waiting lists and capacity by grade and section.

Fees and finance

  • Fee structures by grade, term, transport and activities, with siblings discounts.
  • Instalment plans, online payment, receipts and reminders to parents.
  • Outstanding balances by family and by class, with approvals for waivers.
  • Correct treatment of VAT where it applies to your services.

Academics and attendance

  • Timetables and teacher allocation.
  • Daily attendance with parent notifications for absence or late arrival.
  • Gradebook, report cards in the format you need, and progress tracking across the year.
  • Support for several curricula if you run more than one.

Parent and staff communication

A parent app or portal gives access to fees, attendance, reports and announcements. Notifications in English and Arabic reduce phone calls. Teachers should be able to message parents without sharing personal numbers.

Transport, library and activities

Bus routes, driver and attendant records, pick-up changes and parent alerts help safety. Library and activity modules are useful but rarely the first priority.

Privacy and child data

Student data is sensitive. Insist on role-based access, activity logs, backups and clear rules about retention. Ask where data is stored and who can access it. See UAE data protection for software buyers.

Vendor checklist

  1. Which UAE schools use it, and under which authority?
  2. Can it produce the reports your regulator asks for?
  3. Is Arabic fully supported, including report cards and parent notices?
  4. Can you export all your data?
  5. What are support hours during admissions season?

Implementation timing

Schedule the switch for a quiet period, such as the summer break, and migrate student records, fee balances and timetables before staff return. Run a pilot with one grade, train teachers in short sessions, and prepare a parent guide in English and Arabic. Avoid launching in the middle of admissions season or exams.
