Attendance looks simple until you run a business with shifts, remote sites and overtime. A clinic has rotating shifts, a contractor has labour spread across sites, a retailer has part-day cover and a hotel runs 24 hours. The data matters twice: it decides what people are paid, and it is the evidence behind leave, overtime and disciplinary decisions. This guide helps a UAE employer choose a method and a system.
Match the method to the workplace
| Workplace | Method that fits | Watch out for |
|---|---|---|
| Office with fixed hours | Web or mobile check-in, or a door reader | Shared logins; buddy punching |
| Factory, warehouse, workshop | Fingerprint, face or card reader at entry | Dirty hands, queues at shift change |
| Construction and project sites | Mobile check-in with site location, or a site reader | Poor connectivity, workers without smartphones |
| Retail, restaurants, salons | Tablet or reader per branch with shift rosters | Split shifts and short breaks |
| Field sales and technicians | Mobile check-in per visit, with job records | Privacy of location data |
Core features to expect
- Shift rosters: templates for fixed, rotating and split shifts, with swaps that need approval.
- Rules engine: grace periods, late arrival, early leaving, breaks and automatic overtime calculation under your policy.
- Leave and absence: annual, sick, unpaid and other leave types with balances and approvals.
- Exceptions list: missing punches, duplicates and out-of-site check-ins, for a supervisor to resolve daily.
- Multi-site and multi-company support, with permissions by site and manager.
- Reports: daily presence, monthly timesheets, overtime by project and absence trends.
- Audit trail: who corrected a punch and why.
Connect it to payroll and compliance
The system should hand approved hours to payroll without retyping, split labour cost by project or branch, and keep records that match your contracts. Salary payment files and the records behind them are covered in the WPS payroll employer guide, and the HR and payroll software page shows how attendance, leave, documents and payroll sit together. Labour rules on working hours, rest days, overtime and leave are set by the authorities and change, so confirm current requirements with MOHRE before you configure policies.
Privacy and fairness
- Collect only what you need. Biometric templates and location data are sensitive; store the minimum and explain why.
- Tell employees what is collected, how long it is kept and who sees it. See data protection for software buyers.
- Limit location tracking to check-in moments, not continuous tracking.
- Give a fair correction process, so a failed reader does not cost someone a day's pay.
Questions for any vendor
- Which readers and devices do you support, and can I reuse my existing ones?
- What happens during a network outage? Can punches be stored and synced later?
- How are overtime and shift rules configured, and who can change them?
- Can I export raw punches and calculated hours?
- Where is the data stored, and how do I get it out if I leave?
Rollout in four steps
- Write the rules as a one-page policy first.
- Pilot at one site or department for a month, with parallel records.
- Fix the exceptions and rule gaps that appear.
- Roll out to the rest and review the exceptions list weekly for the first quarter.
