Van Sales and Distribution Software in the UAE

Distribution is a business of routes. A salesman visits forty shops, takes orders or sells from the van, collects cash or cheques and comes back with a bundle of paper that someone in the office has to decode. Mistakes in that bundle are expensive: a missing invoice, a wrong price, cash that does not add up. Van sales and distribution software moves the whole day onto a phone and a back-office system, so every visit becomes clean data. Crafts Software builds and customizes these systems for UAE distributors, wholesalers and FMCG suppliers.

Two ways to sell, one system

  • Pre-sell: the salesman takes orders on the phone during the day; the warehouse picks them overnight; delivery vans deliver and invoice the next day.
  • Van sell: the van carries stock, the salesman sells and invoices on the spot, collects payment and reconciles at day end.
  • Mixed: many distributors do both across different customers and routes.

What the salesman's phone does

MomentOn the phone
Start of dayRoute list, customers in visit order, targets, opening van stock
At the customerLast orders, current balance, price list and promotions; order or invoice created in a minute
PaymentCash, card or post-dated cheque recorded against invoices, with a receipt printed or sent
Returns and damagesCredit note with reason and photo, approved by a supervisor
No signalWorks offline and syncs when the connection returns
End of daySettlement: stock returned against stock loaded, cash collected against sales

Back office control

  • Van stock: load and unload per van, with count differences visible the same evening.
  • Pricing and promotions: price lists by customer group, quantity breaks, free-goods schemes and discount limits per salesman.
  • Credit limits: the system warns or blocks when a customer is over limit or has overdue invoices. See credit control and cheque management.
  • Route and visit tracking: planned versus completed visits, time at customer and strike rate (orders per visit). Location capture is limited to visit check-in and explained to staff.
  • Salesman performance and commissions calculated from collected sales, not only invoiced sales.

VAT, documents and arabic customers

Invoices and receipts show the right VAT treatment, in English and Arabic where customers expect both, with your registration number and sequential numbering across all devices. Returns are issued as credit notes, never as edits. See the guide to tax documents.

Connected to the rest of the business

Orders flow into warehouse picking, with barcode scanning where useful (setup guide), and sales post to accounts automatically. Stock valuation and landed costs follow the methods in our inventory valuation guide. For wider planning see ERP for trading companies.

Frequently asked questions

Which phones does the salesman app need?

An ordinary Android or iOS phone is enough. Printing receipts needs a small Bluetooth printer, or the receipt can be sent by message.

Can we start with a few routes?

Yes. Many distributors pilot one route for a month, then add others once settlement matches.

Can we import our customers and prices?

Yes. Customer lists, price lists and opening stock are imported and checked with your team.

Next step: tell us your routes, vans and customer count.
