An ERP, or enterprise resource planning system, brings sales, purchasing, stock, accounting, HR and reporting into one place. For a UAE small or medium business the question is rarely “do we want ERP?” but “which system will we actually use?” Here is how to decide.

Start with your pain, not the feature list

List the five tasks that waste the most time or cause the most mistakes: re-keying orders into accounts, stock that never matches, invoices that miss VAT details, payroll on spreadsheets, month-end reports that take a week. Rank them. A system that fixes your top three is more valuable than one that ticks every box in a brochure.

UAE must-haves

  • VAT-ready documents. Tax invoices, credit notes, a TRN field, 5% and zero-rated categories, and a VAT summary by period. See our invoice checklist.
  • Corporate Tax readiness. Clean ledgers and reports that make the annual calculation straightforward.
  • Payroll and WPS. Salary files in the format banks require for the Wage Protection System, plus gratuity calculations.
  • Arabic and English. Bilingual documents and screens where your customers expect them.
  • Multi-branch and multi-emirate. Separate stock and sales by branch with consolidated reporting.
  • WhatsApp and email. Sending quotes, invoices and reminders through the channels customers actually read.

Questions to ask every vendor

  1. Can I see my own scenario in a demo, not a generic one?
  2. Who owns my data, and can I export it in full at any time?
  3. Do I receive the source code or only a licence?
  4. What does support cost, and who answers the phone in UAE hours?
  5. How are customisations priced, and who maintains them after upgrades?
  6. Where is data hosted, and how are backups handled? Our note on UAE data protection explains what to check.

What drives the cost

Four factors dominate: the number of users, how much customisation you need, how much data must be migrated, and whether you pay a subscription or a one-time licence. Per-user subscriptions look cheap at five users and expensive at fifty. A one-time purchase with your own hosting has a higher upfront cost but is often cheaper over three to five years. Ask every vendor for a five-year total.

Industry-specific or generic?

Generic platforms can do anything and demand months of configuration. Industry systems arrive with the workflows already shaped, such as a pharmacy, a hotel, a car rental business or a business-setup firm. If a system built for your sector exists, start there and customise the gaps. Browse our software by category to see ready-made systems we can tailor.

Rolling out without disruption

  1. Pick one process to go live first, usually sales and invoicing.
  2. Clean your customer, supplier and product lists before you import them.
  3. Train a champion in each team rather than everyone at once.
  4. Run old and new in parallel for one month-end.
  5. Review after 90 days and add the next module.
